Privacy Policy
Effective date: 5 September 2026
1. Introduction
Seikom ("we", "us", "our") respects your privacy. This Privacy Policy explains how we collect, use, store, share and protect personal information when you use our Seiccounting platform, our websites (including seikom.co.za), and our mobile applications such as Digital Farmer ("the Services"). It applies to our customers, their authorised users, and visitors to our websites.
This policy is written in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) of South Africa and, where applicable, the European Union's General Data Protection Regulation (GDPR).
2. Information We Collect
- Account information — your name, email address, phone number, company name, and payment details when you register or subscribe to the Services.
- Business data you enter — the records you and your organisation create in the Services, such as customers, invoices, stock, livestock, production logs, employees, and related operational data.
- Usage and log data — information about how you use the Services, such as features accessed, pages visited, timestamps, and diagnostic data.
- Device and mobile app data — device type, operating system, app version, and unique identifiers collected by our mobile applications.
- Photos and audio — only when you choose to use camera or audio features in our mobile apps (for example, attaching photos of animals). We request your device permission before accessing these.
- Cookies and analytics — cookies and similar technologies to keep you signed in, remember preferences, and analyse traffic on our websites.
3. How We Use Your Information
- To provide, operate, and improve the Services.
- To manage your account, subscriptions, and billing.
- To provide customer support and respond to enquiries.
- To secure the Services and detect fraud or abuse.
- To communicate service updates, security alerts, and — with your consent — promotional material you can opt out of at any time.
- To comply with legal and regulatory obligations.
4. Legal Bases for Processing
We process personal information where: (a) it is necessary to perform our contract with you; (b) we have a legitimate interest that does not override your rights; (c) we have your consent; or (d) it is required by law.
5. How We Share Information
- Within your organisation — your data is shared with other authorised users of your organisation's account, as controlled by your administrators.
- Service providers — trusted third parties who host or support the Services (including Google Cloud Platform, which stores data for our Firebase services) process data on our behalf under contract.
- Legal compliance — where disclosure is required by law, regulation, or a valid legal request.
- Business transfers — in connection with a merger, acquisition, or sale of assets, with notice where feasible.
We do not sell your personal information to third parties.
6. Data Storage and Security
Data is stored on secure Google Cloud Platform infrastructure. We apply technical and organisational safeguards, including encryption in transit and at rest, access controls, and authentication, to protect your information. We retain your data only for as long as needed to provide the Services, or as required by law. When your subscription ends, your organisation's data is deleted in accordance with our retention schedule unless a longer period is legally required.
7. Your Rights
Under POPIA and (where applicable) the GDPR, you have the right to:
- Access the personal information we hold about you.
- Request correction or completion of inaccurate or incomplete information.
- Request deletion of your personal information, subject to legal retention obligations.
- Object to or restrict certain processing of your information.
- Request a copy of your information in a portable format.
- Lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.
To exercise any of these rights, contact us at admin@seikom.co.za.
8. Mobile App Permissions
Our mobile applications request only the permissions needed for their features, such as camera and photo access for attaching images, and audio recording where voice features are used. These permissions are requested at the time of use and can be revoked at any time in your device settings. Content you capture is stored within your organisation's account and is never transmitted to unrelated third parties.
9. Children's Privacy
The Services are intended for business use and are not directed at children under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
10. Cookies
Our websites use cookies to keep you signed in, remember your preferences, and understand how the site is used. You can control or delete cookies through your browser settings; however, some features may not work without them.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by a notice on our website or by email. Your continued use of the Services after changes take effect constitutes acceptance of the updated policy.
